Information Collected from You
Users of Our Website may be asked to provide personal information including, but not limited to, their name, date of birth, e-mail address, address and other contact details.

Users
The following points apply to all Users of Our Website, including those registered as a Tutor or Student.

  • We collect technical data about Your use of the Website, including the device and browser that You are using, Your IP address, Your time on Our Website and the pages that You have visited.
  • We may ask for Your payment information, such as debit or credit card details. All payment card information is handled by a third-party. We do not handle any payment card information ourselves and are not PCI compliant.

Tutors and Students
The following points apply to Users who are registered as a Tutor or Student on Our Website.

  • We may collect account information from You. Depending on whether You register as a Tutor or Student, this information may include, but is not limited to, Your name, date of birth, e-mail address, address and other contact details.
  • We may collect data regarding Your usage of Our Website and details about You via the communications You post on or via Our Website.
  • Please note, We record all bookings (for example, Meet the Tutor Sessions and Lessons) that are provided via Our Website, store any and all files you choose to upload onto Our Online Classroom and details of any communications You may have via Our Website.

Tutors
The following points apply to Users who have registered a Tutor account on Our Website.

  • You may be requested to upload personal identification documents regarding further details about yourself, for example, identification, evidence of qualifications and Your Enhanced Background Check (for more details, see Our Terms and Conditions which are available on Our Website), gender and personal banking details.
  • We may request that You provide a reference from a previous employer, testifying to Your ability and reliability as an employee. This would involve providing their personal information.
  • We may request that You disclose and provide details of any and all criminal convictions relating to You directly to Tutography (in addition to these being displayed within Your Enhanced Background Check).
  • Our use and transfer to any other app of information recieved from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Students
The following points apply to Users who have registered a Student account on Our Website.

  • Upon requesting a booking with a Tutor, and prior to confirmation, We may request Your payment information.

Referees
The following points apply to Referees only.

  • We may request that You provide personal details, including, but not limited to, Your name, job title, address and contact details, along with details regarding the ability and reliability of the tutor who has requested You as a referee.

How We Use Your Information
We ask You to provide different types of personal information to improve the quality and functionality of Our Website and services. The more accurate and precise information You provide, the better we are able to improve Our services.

Users
The following points apply to all Users of Our Website, including those registered as a Tutor or Student.

  • By collecting Your information, We will be able to permit You access to the relevant pages of Our Website and provide You with the service(s) You request.
  • In order to improve the functionality of Our Website, We may contact You regarding internal market research.
  • Upon Your consent, You confirm that we may inform You of other products and services available which may be of interest to You.

Tutors and Students
The following points apply to Users who are registered as a Tutor or Student on Our Website.

  • By collecting Your use of Our Website and Your communication history, You enable us to do Our best to keep Users safe, as well as helping Us to settle any disputes which may arise. To better protect Our Users, We may also screen any communications made via Our Website.
  • We may record and store all Meet the Tutor Sessions and Lessons to aid us with protecting Users and to monitor the quality of all bookings. Students may access a recording after a booking has taken place.
  • In order to conform with legal obligations, We may store personal information from any and all closed accounts. This personal data will enable us to enforce Our terms and conditions, resolve complaints and disputes, aid any investigation(s) and support other actions as allowed by law.

Students
The following points apply to Users who have registered a Student account on Our Website.

  • We will use Your personal information to offer You Tutors who meet Your needs and requests.
  • Your contact details will allow us to contact You regarding Our services.
  • Your personal data will enable Us to process any and all payments in order to confirm a booking.

Tutors
The following points apply to Users who have registered a Tutor account on Our Website.

  • Your identification documents permit Us to follow the Know Your Customer legislation and Recruitment Agency legislation.
  • The details You provide during Your application, including Your qualifications, previous experience and any right to work documents, allow Us to check Your suitability as a Tutor on Our Website.
  • Providing Us with Your bank details, permits Us to process the payment for Your Tutor Fee(s) for any Lesson(s) You have completed.
  • If You provide details of a reference, We will use these details to contact them and request details regarding Your ability and suitability to be a Tutor on Our Website.
  • If You register details regarding a criminal conviction, including if detailed on Your Enhanced Background Check documents, We shall confirm these details with the relevant database.

Disclosure of Your Information
In accordance with the purposes of collecting Your personal information, as detailed in this policy, the personal information You share with Us may be sent to and stored on Our platform or servers of Our third-party providers. To ensure Our third-party providers comply with their obligations when handling Your personal information, We have Data Processing Agreements with each of them.

On occasion, Your personal information may need to be processed and/or stored outside of Europe. On these occasions, this data is restricted to only what is necessary for the processing or storing purpose.

If We are under duty or obligation to disclose Your personal information in accordance with the law, when enforcing Our Website’s terms and conditions or other agreements/policies relevant to the use of Our Website, we will do so.

If Tutography (or any part of it) is sold or We merge with another business or organisation, Your personal information may be shared with the parties involved.

Tutors and Students
The following points apply to Users who are registered as a Tutor or Student on Our Website.

  • We may share Your personal information with the purpose of being transferred, stored or processed by Our third-party providers. Please note, We only provide the information that is necessary to provide their service. For example, Your bank details will be shared with Stripe (as Our payment provider).

Students
The following points apply to Users who have registered a Student account on Our Website.

  • We may share Your personal information with a Tutor who You have been in contact with. This may include, but is not limited to, Your first name, date of birth and academic information so they can offer their online tuition services.

Tutors
The following points apply to Users who have registered a Tutor account on Our Website.

  • We may share information about You when Students are searching for a tutor. This includes, but is not limited to, Your first name, academic information, approximate location (namely, Your country as this is necessary when meeting the different curriculums across the UK), references you have received and any details You have shared on Your public tutor profile.
  • If You provide any references, We will share Your personal information with them so they can identify You and provide a reference.

Referees
The following points apply to Referees only.

  • We may share information regarding the reference You provided for the relevant Tutor, along with the shared place of employment, to the Tutor and other Users using Our Website.

Protection of Your Information
We are dedicated to protecting Your personal information and data. It is important to Us to take the relevant, reasonable steps to ensure We protect Your information to the best of Our ability.

Even with Us taking steps to protect Your personal information, we unfortunately cannot guarantee that the information You choose to send Us electronically (including, but not limited to, via e-mail or Our Website) is secure and therefore it is Your sole responsibility and at Your own risk. Notably, information sent via e-mail is not encrypted and therefore not secure.

When making changes to Our Website and services, we take steps to ensure the protection of information and comply with the GDPR requirements, as well as submitting Our Privacy Impact Assessment(s) to the Information Commissioner’s Office (ICO) upon request.

Storing of Your Information

  • We will store Your personal information for six (6) years from date on which You were last active on Our Website.
  • Online lesson recordings may be stored for one (1) year.
  • Documents provided as evidence of Your Enhanced Background Check are stored for six (6) months. However, details included in these documents are stored for six (6) years to support our legitimate awarding of the Enhanced Background Check Status on Our Website.
  • Records and information You share publicly or with another User, including, but not limited to, ratings, reviews, messages and confirmed bookings, may remain on Our Website even after Your personal information has been deleted by You, however it will not contain any of Your identifying information.
  • To comply with Our regulatory and/or statutory duties and obligations, We may store Your personal information and records for any period of time.

Your Legal Rights
As decided by Data Protection laws, under specific circumstances, You have rights associated with Your personal information. You have the right to:

  • Request access to Your personal information;
  • Request changes to Your personal information;
  • Request that Your personal information be deleted;
  • Object to Your personal information being processed;
  • Request restriction of who can process Your personal information;
  • Request a transfer of Your personal information;
  • Withdraw from automated decision making when ranking Tutors in Our Website search results.
  • Withdraw consent for Your personal information to be processed, shared or stored.

There will be no fee to pay to access Your personal information, however an admin fee may be required if the request is clearly unfounded, repetitive or excessive.

As a security measure to ensure Your personal information is not shared with any person, business or organisation who has no right to obtain it, We may contact You to request confirmation of Your identity and confirm You have granted access to another party to obtain Your personal information (or when exercising any of Your rights).

We endeavour to respond to all legitimate requests within one (1) month. In some circumstances, it may take longer than one (1) month for Us to respond to Your request if it is complex or You have submitted multiple requests.
